As HR and benefits teams and their departments continue to adapt and/or struggle with staffing shortages, remote work, hybrid work, and in-office settings, teams are facing challenges in getting all the work done! As business has ramped up post-Covid, old processes may no longer serve these teams.

With new clients coming online and systems deployment being a key function, the projects and timing can get backed up. One way to alleviate many of the day-to-day issues is to continue full system development and full deployment of the payroll or HRIS system you have put in place. The key to this is automating your workflows.

The more a department or team holds on to old processes the more restricted the department becomes. Having to jump through several manual processes to get basic tasks done, fielding multiple emails and responses, all bog your team members down and consumes time. This constant feeling of pressure and being behind leads to inefficiencies and further transcending to department morale issues. Removing these daily obstacles can help keep your team(s) from hitting burnout, maximize employee productivity, and ultimately overall department performance. The Solution? Our Isolved HRIS platform, where workflow management can really solve all of these issues for the client. We customize workflows based on each client and their specific needs for operations. The technology is capable of multiple levels of set up from basic workflows on processes for new hires to benefits enrollment, automated enrollments and full development of EDI feeds with numerous carrier platforms.

As a PEO provider (Professional Employer’s Organization) automating the open enrollment process for all clients enrolled in a Master Medical Program revolutionized what can often be a challenging and daunting time of year, combined with year end! Hands down this open enrollment set up was by far one of the easiest and most user friendly of the top systems in the market place.

Add the mass email utility functionality and the employee messaging becomes simple and extremely easy to use. The change for our internal benefits department was incredible, year-end accounting and billing audits were able to be 100% completed within the first two weeks of the New Year. This was a 100% improvement in timing over previous years. The end user and client experience was far superior to previous year’s open enrollment seasons. As a company that seeks to continuously improve our client experience, the work flow functionality was truly a game changer.

Another example of how work flows can revolutionize a department is within your HR team. From pre-onboarding/pre-screening to the full onboarding process, workflow automation is key. With our work flow set up within our Isolved platform, the onboarding process, email delivery, follow up with the new hire is all changed it can be remote onboarding, in person onboarding or a combination, again all tailored to the client specific location and needs of their business. We were able to solve multiple issues for one of our clients. The client had been conducting in person orientation and onboarding with paper forms…yes paper forms. Our HR team was able to set up all online orientation, onboarding, safety videos, customized forms, electronic I-9’s, direct deposit details, and the entire employee record, all in one set of processes and all in one version of the truth for the employee record. This new system has allowed the employer to be more agile in their onboarding and hiring process, speed things up, avoid lost paper/manual forms and has reduced their internal team member time spent on all the older manual processes. The client advised they immediately gained 65% more efficiency internally directly related to the onboarding process. Additionally, with a streamlined process, the time capture was consistent and able to be audited to ensure appropriate payment to new hires for completing the onboarding and orientation processes.

As a company seeking to continuously improve our client experience, the workflow functionality was a game changer.

Whether it is benefits, HR, Safety, Compliance or other needs, workflow automation can remove hidden obstacles that are putting a stranglehold on our teams. Workflow automation can allow our teams to be high functioning and operate at their full potential, allowing departments to be more nimble and agile in an ever changing workspace.

Workflow automation can clearly be the single largest return on investment from a technology perspective.
